BRIEF PREPARATION
Obtain exact needs and expectations of Client and user groups in such things as headcount, filing needs (type and amount) equipment requirements, special group facilities, design objectives, security, etc.

PROGRAMME PREPARATION
Liaise with all suppliers and vendors and produce a detailed overall programme, including internal documentation, authorization periods, legal timelines, materials supply chain etc.

LOCAL REGULATORY REVIEWS
Advise Client on such aspects as, Local and National Building Regulations, Security requirements, Fire regulations, Health and Safety regulations, Monetary Authority directives, Customs and Excise implications such as, tax exempt premises, etc. Ensure that our Clients best interests are protected at all times.

BUILDING SURVEYS
These entail the pre-selection of potential buildings before the opening of new or relocated offices, for suitability, location, architecture, space, size, engineering, data cabling, infrastructure, etc. We employ our own "due diligence" form, which we submit to landlords, to identify all of the buildings assets and liabilities. Our findings and report become part of the formal recommendation, which is presented to our Client(s) to assist in their final deliberations and selection.

LANDLORD
Liaise with landlord where necessary, on fit out, access, in-house regulations such as security, noise, site access, building/lift protection, etc.

BUDGET PREPARATIONS - REQUESTS FOR FUNDING
Prepare detailed budget estimates for the Client and prepare necessary internal paperwork for authorization of funding in Client specific format.

RESEARCH AND RECOMMEND LOCALLY AVAILABLE MATERIAL AND SUPPLIERS
To shortlist materials, suppliers and equipment most suitable for the project and Client, which can be sourced locally, thus avoiding long delays and expensive import or local taxation.

LEASE NEGOTIATIONS
We can either take on the work of sourcing appropriate office space and negotiating a lease deal or complement our Clients "in-house" team by identifying and incorporating into the lease, additional essential facilities from the landlord, i.e. supplimentary generator power, access to and use ofroof space for centralised A/C Plant, good signage etc. Reviewing and commenting on service charges and other property management related clauses.

CONTRACTS
Prepare and manage contracts for our entire turnkey project in co-ordination with our legal team and the clients legal team as per requirements

LAYOUTS
Supervise layouts and overall design, including color schemes, material sample boards and furniture "mock-ups" for presentation to Client. Advise the Client of advantages and dis-advantages between the various options.

I.T.CO-ORDINATION
To liaise with either the "in-house" or the "out-sourced" I.T. groups throughout the life of the project, i.e. matching numbers and types of groups and headcount with adequate, appropriate and accessible infrastructure. The receiving of budgets for inclusion in the overall request for funding and incorporating the IT works into the overall programme.

SECURITY
Review all internal company security requirements and local regulations of statutory and corporate bodies such as local Fire and welfare bodies, banking and stock exchange regulators and provide complete security solution for our client.
These would include:
Life safety such as Smoke and Heat detectors, fire suppression systems, evacuation procedures, property protection including perimeter security and access to surrounds, intruder alarms, CCTV, access controls such as proximity readers, turnstiles, gates and barriers, low and high heat alarms, under floor water detection, and manual guard force.

LONG LEAD ITEMS
Work closely with client to pro-actively identify long lead items and order on behalf of the Client to meet project programmes and deadlines. Ensure that delivery is accomplished and mitigate any unexpected delays, whilst expediting delivery.

CLOSE-OUT
Ensure standards of workmanship, finishes and all contractual obligations have been met. Check defect lists for completion and authorize issue of practical completion certificate. Finalize all outstanding accounts.

AFTER SALES
Periodically survey site to check for design faults, facilities misuse and report to Client. Confirm maintenance is being carried out correctly. Attend meetings on any Ad Hoc basis necessary, should queries be raised regarding the design, architecture, infrastructure, finishes or any other such area of R SQUARE responsibility.

SUPPORT SERVICES

CLIENT MANAGEMENT
Keep in regular contact with our Clients to be pro-active on any/all possible upgrades and/or improvements.

PROCUREMENT
Research and evaluate latest available equipment such as furniture, chairs, M&E equipment, etc, undertake comparisons and make formal proposals to the Client.

SECURITY
Update all physical, regulatory and Client specific security issues. Prepare full reports and provide formal recommendations to the Client.

STRATEGIC PLANNING
Monitor property market and lease provision to identify solutions for long-term premises plan.
